Job Summary
The CDS Administrative Assistant is responsible for providing office support to the Client Direct Services department. Specifically, this person will assist the CDS Office Coordinator, Human Resources, and CDS Program Managers with administrative tasks. As an employee of MRCI, this individual is expected and required to maintain the highest ethical standards.
Essential Duties and Responsibilities
1. Performs general administrative tasks which may include items such as organizing, maintaining, and updating files and records; typing correspondence; assisting in preparation of reports; verifying accuracy and processing forms; preparing mailings for distribution; creating and maintaining spreadsheets; answering phone; organizing, copying and assembling training materials.
2. Assists in the transport of mail and other documents between Map Drive and CDS offices. Also, coordinates and executes mass mailings for staff, clients, and various contacts of CDS.
3. Follows DHS licensing and HIPAA standards to maintain client and employee files.
4. Fax and track MN Health Care Provider (MHCP) numbers. Follow up with employees and State of Minnesota as necessary.
5. Works with the HR Generalist to ensure that all hiring information is complete. This includes entering new hire information into various department systems and opening and closing CDS staff files.
6. Works with the CDS Business Development Manager to prepare for various events and meetings.
7. Assists CDS Office Coordinator with incoming calls for the department, takes messages and programs after hours telephone message, as appropriate. Also assists CDS Office Coordinator with essential responsibilities of their position as a secondary support.
8. Performs other job related duties that may be assigned by immediate supervisor.
Minimum Qualifications
Education/Experience
- A High school diploma required, Associate's degree preferred and two years' experience including administrative, clerical support and customer service.
Knowledge, Skills and Abilities
- Two years of related experience including administrative support, customer service, receptionist duties and working knowledge of typical office equipment.
- Skilled and accurate typist, with the ability to prepare a variety of forms, letters, reports, and memos.
- Proficiency in computer based office software, including Word, Excel and Outlook.
- This individual must possess oral communication skills to effectively present information in one-on-one and small group situations to the general public and other employees of the organization.
- Maintain high level of professionalism and secure sensitive information.
Physical Requirements
Positions in this class typically require: sitting, standing, walking, talking, hearing, seeing and repetitive motions.
