Client Resources Specialist

The Client Resources Specialist assists in the preparation and maintenance of all MRCI case records and statistical reports that relate to clients and programs. In addition, the Client Resources Specialist enters client data information into computer based management systems, including setting up and updating client files. The individual in this position initiates and generates the appropriate notification for intake interviews, assists with scheduling and notification of all client conferences and assists the Client Resources Manager in all duties required in the maintenance of the case records. The position serves as a resource for all other staff on the use of the Case Management System and Microsoft Office products.  The position confers with the Client Resources Manager regarding any process changes to maintain an efficient and effective customer service oriented atmosphere.  As an employee of MRCI, this individual is expected and required to maintain the highest ethical standards.

 

Essential Responsibilities/Duties:

1.         Initiate and maintain case files for all clients in MRCI programs at all locations to ensure complete and consistent case records that comply with all applicable laws and standards.

2.         Initiate and maintain the client data information in the Case Management data base to keep all information regarding client programming, wage rates, etc., current for both Case Management and Payroll Systems.

3.         Work with the case managers to schedule intake interviews for potential new clients. Initiate paperwork, including background check authorization, to be completed prior to the intake meeting. Notify all team members of the upcoming intake meeting as well as subsequent client meetings. Insures the intake schedule is updated timely and maintains the weekly client list for all locations to reflect any department changes and new clients entering the program.  

4.         Update and distribute the weekly reports due list, noting all reports due for clients, indicating the overdue reports, and recording the receipt of completed reports due. 

5.         Operate a personal computer, using Microsoft Word, Excel, Access, Outlook and PowerPoint software to complete letters, forms, reports and all other related correspondence required to maintain accurate and complete case files for clients in all MRCI programs at all locations.  Proficiently operate scanning equipment and act as a resource for others for the Mankato location copier.

6.         Distribute copies of all required reports to the appropriate parties, in either hard copy or electronic format.

7.         Receive the monthly invoices from accounting for all transitional program clients. Insuring the monthly counselor report and invoice match the actual attendance for the client. Mail the appropriate reports and invoices to the funder for payment.  

8.         Utilize case files for the purpose of collecting data necessary for completing reports for funding and state and federal guidelines. Filing completed reports in individual case files within a regimented filing system.

9.         Provide training and support in Case Management system and Microsoft Office Products as requested by other MRCI staff on an individual basis as well as in smaller groups.

10.       Provide support to other functional areas of the organization as needed on an ongoing and/or ad-hoc basis, i.e. representative payee program, MRCI Foundation, special grant projects, etc.

11.       Perform other duties as assigned.

 

Qualifications/Requirements: The Client Resources Specialist position at MRCI is required to have two years of related experience with working knowledge of typical office equipment – such as a scanner, laser printer and copying machine. In addition, the person in this position must also have proficiency in computer based office software, including Word, Excel, Outlook, PowerPoint and Access, as well as strong communication, customer service, record keeping, and file management skills.

 

Education/Experience: A high school diploma or equivalence
