Job Summary


The Corporate Office Coordinator is responsible on a daily basis for ensuring the smooth operation of the office and administrative functions as well as providing organizational support to supervisors. The position provides a variety of administrative assistance through data entry and file maintenance, recordkeeping, and other administrative activities, as assigned. The position also provides administrative support for the Executive team and will work closely with the Client Resources and Human Resources team including setting up and updating files. 


Essential Duties and Responsibilities


1. Support the Executive team with administrative and clerical tasks, using attention to detail, task and time management skill and creative problem solving capability. 
2. Oversee front receptionist area and provide backup relief as needed during morning and afternoon shifts. 
3. Maintains Executive team's calendars by planning and scheduling meetings, conferences, and travel.
4. Preserves Executive team's time by routing correspondence; drafting documents; collecting information; and initiating follow up and follow through. 
5. Assistant Administrative team (Executives, Client Resources, HR, etc.) with general duties as needed.
6. Initiate and maintain case files for all clients in MRCI programs at all locations to ensure complete and consistent case records that comply with all applicable laws and standards.
7. Prepares, formats, types, revises, and combines material such as letters, forms, reports and all other related correspondence from rough draft, corrected copy, or previous computer versions.
8. Make reservations and handles logistics for meetings, luncheons, dinners and other related business affairs.
9. Compile, transcribe, and distribute minutes of meetings. Attend meetings to record minutes as needed.
10. Manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as correspondence, or other material.
11. Work with clients to teach and supervise receptionist and clerical tasks.
12. Maintains FAX, postage and mailing machine and makes calls to vendor for service as needed.  Tracks inventory of supplies and places orders.
13. Assists with special projects when time permits.

Minimum Qualifications

Education/Experience


A High School diploma or equivalence and two years of related office experience or Associate's degree plus one year of related office experience. 

Knowledge, Skills and Abilities

  • Computer fluency with all Microsoft Office suite products with special focus on the Outlook program.
  • Professionalism and self-awareness at all times; ability to interact with a wide variety of people in a warm, competent, and professional manner.
  • Demonstrate strong verbal, written and interpersonal communication skills
  • Demonstrate strong problem solving and organizational skills
  • Strong customer service skills, record keeping and file management ability
  • Knowledge of how to operate equipment such as scanner, laser printer, copy machine, etc.
  • Ability to relate to coworkers in a close environment
  • Must clear a MN Department of Human Services background check as well as a physical exam which will demonstrate the ability to perform the physical demands of the job

Long periods of sitting and bending, filing and general clerical demands apply.
